Take an Access Course to Learn About Relational Databases

Most people, even those who consider themselves computer illiterate, have little trouble mastering the basics of Office applications. After all, using Word is not so different from writing a document on paper. Equations in Excel are very similar to the math you learned in school. PowerPoint is like putting together an art project. But Access is like nothing else.

Many new users find that Access has a steep learning curve when learned outside of an Access course. The problem is not Access itself; the problem is with relational databases.

What is a relational database?

If relational databases were easy to explain, we wouldn’t need an Access course to understand them. However, a very simple explanation is that in a relational database, each piece of information, such as customer name, customer address, invoice number, and part number, is a separate piece of information. Each fragment is connected to the others using relationships. For example, a customer name is linked to a specific invoice number that contains part numbers.

We’ve usually learned to store data in a linear fashion, meaning one element after another in a sequence. Customer records stored alphabetically by last name in a file cabinet is a linear storage method. The problem with linear storage is that if you want all customers who live in Cleveland or all customers who ordered a blue widget in March or April 2005, someone has to go through each record to find those who match the criteria.

In a relational database, the customer’s name is no more important than other data. Because the data is stored non-linearly, it is easier to identify patterns or extract information based on complex criteria.

Excel exacerbates the problem

Microsoft Excel is a great product for creating workbooks, but it is not a true database. It contains some simple commands that are very useful for simple, 2D databases. They are easy for users to understand, but not like relational databases. As a result, users can continue to use Excel instead of switching to the power of Access. Courses can show Excel users how to more easily transition to a real database application.

An Access course can help

People often have trouble learning Access on their own because people tend to think linearly rather than interactively. An Access course helps users gain a solid foundation in the basics of relational databases and introduces them to Access features that enable them to store and retrieve their data more efficiently.

Even people who learn very well with the “learn by doing” technique need the guidance of an Access course to understand databases. For users who don’t like traditional classroom sessions, e-learning solutions are available on CD, allowing students to progress at their own pace and on their own schedule. An Access course can be frustrating to learn the difficult concept of databases.
