Working for a busy translation agency, a common request is to provide translations back in a universal format that our clients can use to set text on an alternative platform or save for later. Usually this universal format is MS Word, and apart from the cross-compatibility of some Word file types (eg docx etc.) it works well. Once the translation is complete one of our project team will proofread the translation, ensuring it complies with our quality assurance system.

Generally our translators are able to perform basic formatting tasks within MS Word, however, occasionally we will be called upon to perform this procedure during the validation process. We’ve found that the speed of proof-checking and formatting documents can be greatly increased by the use of keyboard shortcuts. This article shares our top 10 keyboard shortcuts for using MS Word. Although our studio is mostly based on the Mac platform, we use PCs to edit MS Word files. We have used many versions of Word over the years and these shortcuts should work with all versions of Word from 97-2007.

1. Search and Quick Search lets you find occurrences of specific queries without the need to open the ‘Find’ dialog box. To use this function simply use the search function (Ctrl+F) and type your query to find the first occurrence. Once found, select ‘Cancel’ or Esc. To find subsequent occurrences of your query, simply select Shift+F4.

2. Paragraph Centering – Although it is quite easy to select the Paragraph Centering option from the Format menu – sometimes you find this option hidden from the menu bar or you don’t want to leave the keyboard with your hands – select Ctrl+E. Very simple, but speeds things up if you have a long document to format.

3. Other Paragraph Formatting – As well as Ctrl+E to center the text, Ctrl+L will align the text to the left margin, Crtl+R will align the text to the right and Ctrl+J will justify the text.

4. Changing the case of text – Sometimes when text is copied from one application to another, it retains some of the original formatting from the source document. It can be a pain to reformat into a word, especially if the text is capitalized. A useful keyboard shortcut for changing the case of text is the Shift+F3 shortcut. First select the text you want to format and then select Shift+F3 – this will toggle between uppercase, lowercase and first letter capitalized only.

5. Quick specific deletion – People take different approaches to delete text. Some select the text you want to remove and select the ‘Delete’ key. Others will use backspace until all required characters/text are deleted. One way to speed up this process is to use the Ctrl key in combination with Delete or Backspace. Using Ctrl+Delete deletes text from the insertion point to the end of the next word, Ctrl+Backspace deletes words to the left of the insertion point.

6. Adding ‘Copyright’ sign. This one is really simple and can be very useful. Select the shortcut to add a copyright symbol to your document – Ctlr+Alt+C.

7. Switching between open documents – If you work from multiple documents at the same time then the shortcut Ctrl+F6 is a really useful keyboard shortcut to switch between documents.

9. Show and hide formatting characters (tab marks, spaces etc.). Select Shift+Ctrl+8 to show or hide formatting characters (characters that are not printed but are used to indicate the formatting of documents).
