MS Excel Tips – How To Filter And Remove Duplicate Values In Excel

A duplicate row in Excel is one where all the data in the cells matches all the data in the next row. Duplicate values in cells are determined by the value shown in the cell, but not stored in the cell. For example, a cell with 01/02/2011 does not have duplicates compared to February 01, 2011, but is classified as unique values.

There are two ways to filter for unique values or remove unnecessary information.

Both these functions are very similar and produce similar results, one hides duplicate values (filtering) and the other permanently deletes duplicates.

I recommend that you conditionally format the unique items in your Excel worksheet to make sure that the results are what you expect before you try to remove any of your data. This is a handy step that I do all the time and is really easy after Excel 2007:

  • Highlight the data set you want to search for duplicate items
  • Home tab
  • style section
  • conditional format
  • Highlight the cell rules
  • Duplicate values
  • In the Duplicate Values dialog box, select how you want to highlight your cells with duplicate values.
  • Press OK

You can now easily view your duplicates before you try to temporarily filter or permanently delete them.

We use the filter for unique values function to filter out or temporarily remove duplicate values.

  • Select a range of cells
  • Data tab
  • Sort and filter
  • advanced
  • In the Advanced Filters dialog box
  • Either filter the list in place or copy the results to another location in this case you need to enter to copy in cell reference box or hide dialog box and click on the cell of your worksheet then select expand dialog box.

Your unique values will now be filtered to either a place, or a place of your choice.

It’s always a good idea to make a copy of your data set because the data will be permanently deleted from your worksheet if you choose to remove duplicate values instead of simply hiding them by filtering.

To delete duplicate data permanently:

  • Select a range of cells
  • Data Tools Group
  • Data tab
  • Click Remove Duplicates
  • Under Columns, select one or more columns
  • Click Select All to quickly select all of your available columns
  • Click Deselect All to immediately clear all your available columns
  • Click OK
  • Excel will notify you how many duplicate values have been deleted
  • Excel will also inform you how many unique values remain in your data set
  • Click OK
