MS Excel Tutorial – Speak To Me! How To Enable Excel Text To Speech Feature

After Excel 2002, Microsoft introduced the Text-to-Speech feature. This is an interesting function when you explore it. You can get Excel to return the contents of a range of cells to you, or you can get it to call the cell contents as you actually type the data into your worksheet.

You may be thinking – when on earth will I use it?. I did too at first. But after trying I got it. I actually use it frequently. Double checked if I need data entry- I get Excel to talk it back to me if no one is available. This saves time and stress as it is like having a colleague double check my entries.

This text to speech feature is still available but has been somewhat hidden since Excel 2007. It is not entirely clear where this feature is hidden. It’s still available, and with a little preparation you can still take advantage of its features.

You only need to spend a few minutes to put the feature on your Quick Access Toolbar (QAT) so that you can use it from a really convenient location.

Here’s how to feature in QAT

  1. Right click on QAT
  2. Select Customize Quick Access Toolbar from the shortcut menu
  3. Click on the drop down list
  4. Select a command not on the ribbon
  5. Scroll down to the items starting with bid- there should be 5 in total and select them all
  6. Add then OK

QAT should have 5 new items, these are

  1. Let the cells speak
  2. Cells Speak – Stop cells from speaking
  3. Speak cells by columns
  4. Speak by lines
  5. Speak cells to Enter

So, let’s use the feature!

To read a range of cells, select the range and select the Speak Cells button.

To read the data in the entry, simply select Speak on the Enter button.

It’s a love it or really hate it feature!

You can tweak the settings of this feature to some extent. You have a small bit of control if you want to change the sound or its speed. Where else would this be except in the Windows Control Panel.

You’ll find the settings in Speech Properties. You can change the speed or select a different sound.

Give this little known feature, strange at first but then useful after a while for double checking data entry.
