Excel Tip: Export And Save Your Entire Excel Workbook As A PDF

Converting an Excel worksheet or workbook to a PDF document is a great way to share content without allowing other users to modify your work.

From Excel 2010 it is really easy to convert to PDF, even for Excel documents.

  • Open the Excel document you want to convert to PDF

  • Select File on the Excel ribbon then Save As

  • If you haven’t already entered a file name, do so at this step

  • Scroll down to PDF in the Save As Type drop down box or press the letter P on the keyboard to take you down to PDF.

The next section has a few options to play around with before you share your document. First you will see the author’s name. It will be pre-populated with your name or the name with which the current Excel program is registered. Click in the name field to add another author’s name if you need to.

Add tags option – This will allow you to tag the document with key words to enable you to find it quickly on your machine. There are also options for title and subject if you want to record those features.

Some customization options are available in the next section. If you want to share the document online and make it available for download, you need to select the Custom for Online option. This will allow excellent quality for both online printing and publishing. If you just want to publish online and reduce the file size if it is important then the second option Minimum size for online publishing will do well.

You can also choose to take a sneak preview of your created PDF file then tick Open File after publishing. You must have Adobe Viewer blocked from opening the file for preview.

Another set of options are in the Options button. This is where you decide what you want to export to your Excel file.

In the Page Range field you can select

  • All pages or

  • Select the range of pages from and to

Which area to publish gives you options

  • Selection

  • The entire Excel workbook

  • Active sheet or sheets

  • An Excel table field

  • You can also choose to ignore and preset printing areas that your document may contain

Press OK and it’s done.
