MS Excel Tutorial – Creating Custom Lists To Auto Fill Rows And Columns

The ability to automatically fill columns or rows in a series with sequential and logical values in Microsoft Excel is a great time saver. We can automatically fill in all weekdays, months, or numbers in sequence pre-programmed for your convenience.

All we have to do is type in the first two of the values and then drag the fill handle and Excel does all the hard work. The fill handle is the small dot or square at the bottom of the active cell. Excel will automatically recognize the cell contents as part of the s series and will autofill the contents when dragging.

So, you may ask, are we restricted to using the built-in lists that are so graciously provided with Excel?. No we are not.

We can add to our own custom lists – anything we want – for example – employee names, class members, product codes that we use all the time. All we have to do is pre-program it into Excel as a custom list, then type in the first value of the list drag the fill handle normally and your data will be auto-filled.

There are two quick ways to create your own customized Excel list. Let’s work through an example using both methods.

The first method is to type in your list what you want Excel to auto-fill.

  1. File tab
  2. Options – Options dialog box will appear
  3. Advanced Tab – Advanced options appear in the right hand pane image
  4. Click Edit Custom Lists in the General section – the Custom Lists dialog box will appear
  5. Click inside List Entries and type your list items as you want them to be auto-populated. This is really important, type in the list precise order
  6. So, in this example type the following apple, orange, pear, banana
  7. Click OK twice to save your new list

So, that’s the first method, let’s look at the second method which uses the already ordered list you have in the Excel workbook.

  • Open your workbook or navigate to the worksheet that contains your list of items
  • Repeat steps 1 through 4 in the instructions above
  • Use the Data Selection dialog box to specify the range of cells that contain your list
  • Hit Import
  • Press OK

Your list will now be imported as in the first method described above.

Of course adding to Excel customized lists will save you time and help you work smarter and faster within Microsoft Excel.
