Excel Tip – Using Names To Quickly Navigate Your Excel Work Book

By naming a cell range, function, constant or table in Excel we can make life a lot easier in some ways.

By naming cells we can give formulas Context and meaning, for example—let’s take a simple formula

=SUM(A2:A13) which would make a lot more sense to us if written as this

= SUM (Sum of Month Sales) We can make this formula more understandable by simply naming the monthly sales cells.

We can also name cells or ranges to allow us to quickly navigate around the workbook, especially if it is large with many worksheets. Go directly to named fields in our worksheets by pressing the drop down arrow in the name box.

We can actually create two types of names, the first is a defined name The second type is a that applies to a cell, range of cells, formula, or constant value table name.

Excel creates a default Excel table name of Table1, Table2, and so on, every time you insert an Excel table, but you can change the table name to make it more meaningful for you.

Let’s go ahead and create a formula and a name for a table and see how we can easily navigate through our Excel workbook.

First let’s name a table. In my Excel worksheet I have a reference table of building types. Excel names this table Table1 by default, but I’d like to call it Construction HouseType to make it more meaningful.

By default Excel names this table 4. To change name – there are 2x methods, using name manager or name box. For table we will use name manager-

  • Formula tab

  • Name manager

  • Select the table

  • Press Edit

  • Rename the table. I have decided to name it houseconstructiontypetbl

Let’s move to the cell reference name. We are naming a cell that is the VAT rate in another area of our workbook. To name this cell we will use the second method which is using the name box. What we need to do to name this range is type the name in the box and press enter which will automatically assign the name to the cell.

The cell is named now. So we can navigate around the workbook really quickly. Press the drop down arrow in the name box to jump directly to the named field.
